PURPOSE AND ROLE IN THE BUSINESS

As a Planned Maintenance Officer – Work Order Management you are responsible for the day-to-day supervision of the senior planning clerk team performing work order management and capturing of data within the SAP-PM system. The role responsibilities extend beyond data capturing in that certain data will require interpretation and validation that includes analysis of certain data to produce collated reports on work order management.

KEY RESULT AREAS

• Provide immediate first line support to user requests for business process help. 

• Assist users with SAP PM queries/complaints and provide solutions and/or escalate to IM 

• Facilitate training to end users on SAP PM and system use. 

• Run reports on SAP users and update users in the DVE-PM Group. 

• Provide support in the use of SAP reports and to facilitate the extraction of reports from the system. 

• Provide feedback to Asset Planning Superintendent, Planners and Asset Manager on Section work order performance and compliance 

• Ensure adherence to work order management processes and capturing of work order, including capture of Service entries and administration of invoices. 

• Monitors work order feedback quality and liaises with maintenance Coordinator and FLMs to improve quality and compliance 

• Annual SAP training needs analysis and schedule training for SAP PM Users. 

• Ensure implementation of appropriate maintenance systems, maintenance management framework elements and work planning and control to comply with business needs and requirements. 

• Ensure compliance to the business’ engineering planning standards, guidelines, specifications and best practices. 

• Follow up with Foremen, Artisans, etc. where job cards are not returned or are incomplete. 

• Notify the Systems Administrator of changes to master data that can only be updated by the Systems Administrator. 

• Compile reports, inventories and graphs for performance analysis by running appropriate KPI reports and SAP transactions. 

• Participate in the Mini Business Area and give the necessary attention to Safety, Health and Environment.

MINIMUM REQUIREMENTS: (Education & Experience)

• Grade12/N3 or relevant NQF level 4 qualification with pure Math’s or Math’s Literacy.

• NQF 4 Office Administration.

• 5 Years’ experience as a senior planning clerk.

• SAP PM Certification (advantageous).

• Good working knowledge of SAP PM and SAP MM business processes.

• Valid EB/Code 8 Drivers license.

• Successfully obtain a Red Ticket (Medical Fitness Certificate)

SKILLS/ COMPETENCIES:

• Good oral presentation skills and technical writing skills 

• Working knowledge of SAP PM processes 

• Understanding of OM work management processes 

• Sound knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint) 

• Training and presentation skills
